Distribution Partner Manual

Non-Discrimination Requirement

Sylvia’s Sisters believes that menstrual products should be accessible by anyone who needs them regardless of race, religion, national or ethnic origin, age, disability, marital status, sexual orientation, or gender identity or expression. As such Sylvia’s Sisters will not knowingly enter into a partnership with or provide products to an organization that denies services to any individual in need based on these characteristics. Partners found to be violating this non-discrimination requirement will have their future requests placed on hold. If a resolution cannot be reached between the Partner and Sylvia’s Sisters, then the Partner will be considered ineligible to receive products from Sylvia’s Sisters and the partnership will be terminated.

Orders and Fulfillment

Quantities of products and timing of order fulfillment are not guaranteed and are subject to available inventory, staffing schedules, and program funding. Sylvia’s Sisters will make a good faith effort to fulfill orders, depending on available inventory and program funding, and necessary adjustments will be communicated in a timely manner.

Order requests will not be prepared for fulfillment until confirmed. Partners will be asked to confirm their requested quantities and the date, time, and location of the fulfillment appointment before the fulfillment date. Failure to confirm the request may result in forfeiture of some or all of the requested product as they may be used to fulfill other orders.

In acknowledgment that time is a valuable resource for both Sylvia’s Sisters and the Partner, both parties will communicate any necessary changes to the date and time of fulfillment appointments as soon as those changes are known. Sylvia’s Sisters understands that circumstances arise that may force the Partner to miss the confirmed appointment. If this occurs, then the Partner must contact Sylvia’s Sisters within 24 hours to reschedule or the request will be considered forfeited and products will be returned to inventory. Missing two confirmed appointments will result in future requests being placed on hold until a resolution can be reached between the Partner and Sylvia’s Sisters.

Distributing Products Provided by Sylvia’s Sisters

Products must be given to persons in need, regardless of race, religion, national or ethnic origin, age, disability, marital status, sexual orientation, or gender identity or expression.

Products must be distributed free of charge and receipt must not be dependent upon attendance of a religious, political, or other institutional event.

Products must be used solely for the purpose of assisting menstruators in need and cannot be sold, traded, or used as part of a giveaway or promotion.

Contents or packaging of kits received from Sylvia’s Sisters must not be altered, including, but not limited to, disassembly, repackaging, recreation, or rebranding of the kits. If preferred, Sylvia’s Sisters is happy to provide loose products or products in original packaging instead of kits.

If Partner distributes products received from Sylvia’s Sisters to a third organization, the Partner must confirm that the third-party meets all requirements of the Partner Manual, and the Partner must recognize Sylvia’s Sisters as the source of the period products in any press or announcements of the distribution.

Reporting

Sylvia’s Sisters relies on data, descriptions, and input from Partners to quantify the impact of services, evaluate the success of programs, and make the case for directing funds to combat period poverty.

In the first quarter of the calendar year, all Distribution Partners who received products during the previous calendar year will be asked to complete an annual survey. This survey will ask the partner to describe the distribution of products received from Sylvia’s Sisters and provide information about the locations and populations served by this partnership.

Partners will also be asked to provide a short anecdote, testimonial, or description of how the products received from Sylvia’s Sisters have made an impact on the partner’s clients.

Partners are required to return a completed annual survey by the requested deadline. Failure to do so will result in the Partners future orders being placed on hold until the completed survey is submitted. Sylvia’s Sisters is aware that partners may not have access to, or knowledge of, requested information in the annual survey. Marking form fields as unknown is acceptable and will not end the partnership or future provision of period products. 

To ensure that the annual survey, and other communications regarding the Distribution Partnership, are received by the correct individual, Partners are asked to notify Sylvia’s Sisters if there is a change in contact information for the organization’s period product distribution program. 

Disclaimers and Indemnity

Sylvia’s Sisters acquires products through purchases and also through donations. Sometimes these donations include loose or open packages and obviously damaged products are discarded. While Sylvia’s Sisters believes that the products provided to partners are safe, it is the responsibility of the recipient to inspect products before use.

Partner agencies hereby indemnify, defend and hold harmless Sylvia’s Sisters, its officers, directors, employees, and volunteers from any and all liabilities or claims resulting from the quality, safety, and/or use or misuse of the products provided by Sylvia’s Sisters.

Cancellation of Partnership

Sylvia’s Sisters reserves the right to cancel a Distribution Partnership at any time if the Partner does not adhere to the terms of this agreement or if any portion of its application is found to be intentionally deceptive.
